Execution Methodology – Jeet Ki Yatra 2025 (HPCL × Hero, Odisha)

1. Pre-Launch Preparation

1.1 Outlet Readiness

·         Branding kits (hoardings, gate arches, QR standees, counter mats) shipped to 100 + HPCL ROs across Bhubaneswar, Balasore, Cuttack, Angul, Bhawanipatna, Rourkela, Sambalpur.

·         Forecourt staff receive a 2-hour micro-training on QR code placement, HP Pay troubleshooting and customer FAQs.

·         Daily “dry run” checklist—QR scans, network speed test, printer ribbon level—completed before 8 a.m. by the shift supervisor.

1.2 System Configuration

·         Campaign ID and fuel-slab validator embedded in HP Pay backend (2-W min ₹300/₹200 P95; 4-W min ₹1500/₹1000 P95).

·         Real-time API hand-shake with Hero prize portal for ticket generation and inventory locking.

·         Geo-fencing enabled (25 km radius) to block entries from non-participating pumps.

2. Customer Journey (Front-End)

Step A ⛽ Fuel Purchase

·         No coupon printing; the POS terminal pushes sale data to HP Pay cloud in ≤3 s.

Step B 📲 QR Scan

·         Customer scans the desk/windshield QR with any UPI scanner. The URL auto-captures SAP-RO code & invoice hash; the user only inputs:
  – Name
  – Mobile (OTP verified)
  – Vehicle number (optional for 2-W)

Step C ✅ Eligibility Gate

·         Server cross-checks invoice hash, fuel slab and duplicate-entry rule (1 entry / mobile / calendar day). If clear, Entry ID + digital scratch card instantly appear.

Step D 🎁 Reward Dispensing

·        “Weekly / Fortnight Draw Eligible” → ticket number shown; SMS confirmation sent.

3. Backend Operations

3.1 Data Lake & Dashboard

·         All entries flow into an Azure SQL pool with tables for sales-area, outlet, timestamp, slab, prize tier.

·         Live Power BI dashboard for HPCL & Hero managers: funnel view, RO league chart, gift inventory, fraud triggers.

3.2 Draw Mechanics

·         Weekly jobs (Sunday 02:00 IST) run a Mersenne-Twister–based randomizer on valid ticket IDs; winner set exported as CSV for audit.

·         Grand-bumper draw executed once campaign crosses 250 k unique mobiles OR at 60 days, whichever earlier.

3.3 Prize Fulfilment Governance

·         Physical prizes (TVs, bikes) shipped only after KYC pack (invoice image, PAN/Aadhaar, mobile ownership PDF) is uploaded and validated by a third-party verifier (T+5 days SLA).

·         Gift-tax e-challan link issued by HPCL finance; payment window 7 days before re-allotment rule triggers.

4. Communication Workflow

·         D-1 SMS blast to prior HP Pay users announcing go-live.

·         Every successful entry triggers:
   – Real-time SMS (Entry ID + scratch result)
   – Transactional WhatsApp template with campaign T&C link

·         Winners receive IVR call + email + SMS; list posted on microsite within 24 h of draw.

5. Post-Campaign Close-Out

·         Customer data archived for 6 months, then purged per HPCL privacy SOP.

·         Joint HPCL–Hero retrospective (D+15) analyses CPA, fuel-volume uplift, RO ranking and recommends tweaks for 2026 edition.

Bottom Line: A friction-free “fuel–scan–win” loop on the forecourt, backed by real-time validation, transparent draws and tight fraud locks, ensures that every participant’s journey in Jeet Ki Yatra is swift, secure and truly rewarding.
